Privacy Policy (Personal Information Protection Policy)

Omoï Co., Ltd. (hereinafter referred to as "the Company") recognizes its social mission regarding the protection of all personal information it handles, and complies with the protection of individual rights and relevant laws and regulations concerning personal information. Furthermore, to realize the policies outlined below, the Company declares that it will establish a personal information protection management system and continuously improve it while being aware of the latest trends in IT technology, changes in social demands, and fluctuations in the business environment.

Basic Policy

a) Personal information will be acquired, used, and provided only within the necessary scope for the legitimate business execution of the Company in the planning, formulation research, manufacturing, and sales of cosmetics, as well as for employee employment and personnel management, and will not handle personal information beyond the scope necessary to achieve the specified purpose of use (out-of-purpose use). Measures will also be taken to prevent out-of-purpose use.

b) The Company will comply with laws and regulations related to personal information protection, government guidelines, and other norms.

c) To prevent risks such as leakage, loss, or damage of personal information, the Company will implement reasonable safety measures by allocating management resources that are appropriate to the actual business situation and will continuously improve its personal information security system. If it is determined that there is a problem with personal information protection, corrective measures will be taken promptly.

d) The Company will respond promptly and sincerely to complaints and consultations regarding the handling of personal information.

e) The personal information protection management system will be reviewed in a timely and appropriate manner, taking into account changes in the environment surrounding the Company, and will continuously promote improvements.


Handling of Personal Information

1. Purpose of Use of Personal Information

For personal information obtained directly from customers in writing (including those via the website or email), the purpose of acquisition will be explicitly stated to the individual prior to acquisition. The purposes of use for personal information obtained by other means are as follows.

d) Procedures for Responding to Requests for Disclosure, etc.

Regarding retained personal data, the Company will respond to requests from the individual or their agent for notification of purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, and cessation of provision to third parties according to the following procedures.

① After receiving the request, the Company will send a "Request for Disclosure of Retained Personal Data" form prescribed by the Company.
② Please send the completed request form, documents confirming the agent's authority (if applicable), and a postal money order for the fee (only for requests for notification of purpose of use or disclosure) to the personal information inquiry desk.
③ After receiving the request form, the Company will inquire about two items of registered information (e.g., phone number and date of birth) for identity verification.
④ Responses will generally be made in writing (by postal mail) to the individual.

e) Fees for Disclosure, etc.

Request for notification or disclosure of purpose of use: 1,000 yen per request (please enclose a postal money order)

f) In the case of requests by an agent

Please enclose documents proving that you are an agent and documents proving your own identity. The information regarding the registered domicile in each document should be limited to the prefecture, and the personal number should be obscured or otherwise processed.

  • In the case of a delegated agent: Original power of attorney from the individual
  • In the case of a legal representative of a minor: Family register, resident record (with relationship noted), etc.
  • In the case of a legal representative of an adult under guardianship: Certificate of registered matters related to guardianship, etc.

3. Personal Information Handling System and Safety Management Measures

Formulation of Basic Policy

The Company has established a "Personal Information Protection Policy" regarding "compliance with relevant laws and guidelines" and "inquiries and complaint handling."

Organizational Safety Management Measures

A person responsible for handling personal data has been appointed, and the scope of employees handling it has been clarified. Regular self-inspections and external audits are conducted.

Human Safety Management Measures

Regular training is provided to employees, and all employees are required to submit a confidentiality agreement regarding personal data.

Physical Safety Management Measures

Access control is implemented for areas handling personal data, and measures are taken to prevent theft and loss of equipment, electronic media, and documents.

Technical Safety Management Measures

Access control limits the scope of personnel and personal information databases handled. Measures to protect against unauthorized access from outside and malicious software have been implemented.

4. Use of Cookies

This site may collect cookie information and use it for statistical analysis of website usage and advertising delivery. This is aimed at providing customers with better information and services, and does not involve the collection of information that identifies individual customers.

6. Provision of Personal Information to Third Parties

The Company may provide or entrust customer information to third parties in the following cases. The Company will review whether the recipient meets the criteria as necessary and will manage it under appropriate supervision.

  • For providing services to the Company's cooperative business partners and affiliates (including cooperation with businesses for advertising delivery and effectiveness measurement)
  • In cases where business is succeeded to another company due to merger, company split, or business transfer, etc.

7. Outsourcing of Personal Information Handling

The Company may outsource personal information within the scope of the purpose of use for business operations. In this case, the Company will select outsourcing partners with a high level of personal information protection, enter into contracts regarding proper management and confidentiality, and ensure appropriate management is implemented.

8. Voluntariness of Providing Personal Information

Whether or not customers provide personal information to the Company is voluntary. However, if necessary items are not provided, appropriate responses may not be possible.
